This Privacy Policy describes the collection, processing, use, disclosure, storage, transfer, and protection of personal data obtained in connection with your use of our website, applications, and services.

Eterna Matchmaking is a faith-based matchmaking service serving marriage-minded Christian singles across Ontario, Saskatchewan, and Alberta. We understand that the information you share with us is deeply personal, and we take our responsibility to protect it seriously.

3.1 Modes of Submissions

We collect information through direct submissions (account creation, questionnaires, consultations, workshop registrations), analytics tools, log files), third-party sources (background check providers, payment processors, references), and workshop facilitators who access registrant information for event delivery purposes.

3.2 Primary Service Delivery

We process your information to provide matchmaking services (identifying compatible matches, facilitating introductions, coaching), verify identity and ensure safety (background checks, fraud prevention), improve our services (personalization, quality enhancement), communicate with you (match updates, support, appointment reminders), comply with legal obligations, and with your consent, send marketing communications about workshops and events.

 SECTION  IV-INFORMATION SHARING AND DISCLOSURE

4.1 Sharing with Potential Matches

When we introduce you to a potential match (with your consent), we share your first name, age, general location, faith background, professional field, education level, approved photos, and lifestyle preferences. We do NOT share your full name, contact information, specific workplace, financial details, background check results, or private communications with our staff. You control all additional information sharing after the introduction.

4.2 Service Providers

We share limited information with trusted partners who help deliver our services: background check providers (for identity verification), Square (for payment processing, we don’t store your full credit card details), Zoom and Google Workspace (for workshops and communications), and licensed workshop facilitators (who receive attendee names and emails only). All service providers are bound by confidentiality agreements and their own privacy policies.

4.3 Other Disclosures

We may disclose information when legally required, or in aggregate, de-identified form for research and statistics. We never share your personal information for third-party marketing without your explicit consent.

SECTION V – DATA RETENTION POLICY

We retain personal data only as long as necessary to provide services, comply with legal obligations (such as retaining payment records for 7 years), and resolve disputes. Active membership data is retained throughout your membership; inactive accounts (no activity for 24 consecutive months) are deleted after 30 days’ notice; and when you request account closure, profile information is deleted within 30 days while payment records are retained as legally required.

 SECTION VI – THIRD-PARTY LINKS AND SERVICES

Our services may link to third-party websites and services (social media, payment processors, workshop platforms, background check providers) that have their own privacy policies. We are not responsible for their privacy practices, content, or security. We encourage you to review their policies before sharing information. Links do not constitute our endorsement of third-party products or services.

SECTION VII – YOUR PRIVACY RIGHTS

You have the following rights regarding your personal information:

Your Rights:

  • Access: Request copies of your information (profile, match history, communications, payments) within 30 days
  • Correction: Update inaccurate information via your account or email us
  • Deletion: Request account deletion within 30 days (exceptions: legal requirements, dispute resolution)
  • Data Portability: Receive your data in CSV or JSON format within 30 days
  • Withdraw Consent: Stop processing for specific purposes (may affect service delivery)
  • Lodge Complaint: File complaint with Office of the Privacy Commissioner of Canada (1-800-282-1376, priv.gc.ca)

How to Exercise Rights: Email support@eternamatchmaking.com with your request. We respond within 30 days (may extend to 60 days for complex requests). Identity verification may be required. Exercising your rights is free.

SECTION VIII-SECURITY MEASURES

We implement comprehensive security measures to protect your information from loss, theft, unauthorized access, or misuse.

Our Protections Include:

  • Technical: SSL/TLS encryption, encrypted data storage, firewalls, intrusion detection, regular security scanning, automated backups, multi-factor authentication for staff
  • Administrative: Staff privacy training, confidentiality agreements, role-based access controls, incident response plan, vendor security reviews

Your Responsibility: Use strong passwords, never share login credentials, log out of shared devices, report suspicious activity immediately.

Limitations: While we use robust security, no system is 100% secure. We commit to continuous improvement, prompt vulnerability fixes, and notifying you of any material security incidents.

SECTION IX-ACCURACY OF MEMBER INFORMATION

While we verify key details, we rely on members to provide honest and accurate information.

Member Responsibilities:

  • Provide truthful information and update profiles when circumstances change
  • Represent themselves honestly to matches
  • Disclose material facts affecting compatibility

What We Verify:

  • Identity (background checks, ID verification)
  • General employment and relationship status
  • Photo authenticity

What We Cannot Guarantee:

  • Complete accuracy of all profile information
  • Truthfulness of personal statements or relationship history
  • Member intentions, character, or future behavior

Reporting Concerns: If you discover inaccurate information about another member, report immediately to support@eternamatchmaking.com. We investigate promptly and take appropriate action while protecting confidentiality.

Disclaimer: Members match at their own risk. Always exercise caution and good judgment.

SECTION X- INTERNATIONAL DATA TRANSFERS

Some service providers are located in the United States or other countries, so your information may be transferred, stored, and processed outside Canada.

Protections: We ensure protection through standard contractual clauses approved by privacy authorities, service provider privacy agreements, data encryption during transfer, and your consent where required by law.

Your Rights: Data transferred internationally receives the same protection standards as data stored in Canada. You retain all privacy rights regardless of where data is processed.

SECTION XI- MARKETING COMMUNICATIONS

Service Communications (Required – Cannot Opt Out):

  • Membership confirmations, match introductions, appointment reminders
  • Account security alerts, payment receipts, policy updates

Marketing Communications (Optional – With Your Consent):

  • Workshop announcements, blog posts, relationship resources

How to Opt Out:

  • Click “unsubscribe” in any marketing email
  • Email support@eternamatchmaking.com with “Unsubscribe”
  • Update preferences in your account settings
  • Processed within 10 business days

Effect: You will stop receiving marketing emails but continue receiving essential service communications. Does not affect your membership.

SECTION XII-PHOTOS AND MEDIA

What We Collect: Profile photos, additional photos for matching, and optional video introductions. Primary use is sharing with potential matches during introductions.

Your Rights: You retain all ownership rights. By uploading, you grant us a limited license to store and display photos to matches for matchmaking purposes only.

We DO NOT:

  • Use photos for marketing/advertising without explicit consent
  • Share publicly or on social media
  • Sell or license to third parties
  • Use after account closure (deleted within 30 days)

Your Control: You decide which photos appear, when to update or remove them, and whether specific photos are shown to matches. Manage through your dashboard or email support@eternamatchmaking.com.

Security: Photos stored on encrypted secure servers with limited staff access. Deleted within 30 days of account closure (may remain in backups up to 90 days).
